The short version: this website sets no cookies, uses no analytics or tracking, and loads nothing from third-party servers. The only personal data we process is what you type into the cancellation-letter tool — and we use it solely to create your letter and email it to you.

This website is operated from Germany, so the EU General Data Protection Regulation (GDPR) applies to all processing described below.

2. Hosting and server logs

This website is hosted by Hostinger International Ltd. (61 Lordou Vironos Street, 6023 Larnaca, Cyprus), acting as our processor. When you visit the site, the web server automatically processes technical data — such as your IP address, date and time of the request, the page requested, browser type and operating system — in server log files. This is technically necessary to deliver the website and to ensure its security and stability (legal basis: Art. 6(1)(f) GDPR — legitimate interest). Log files are handled according to Hostinger's retention practices and are not merged with any other data.

3. The cancellation-letter tool

When you use the letter tool and press "Email my letter", we process the details you entered:

Purpose: to generate your personalised cancellation letter and deliver it to your email address (legal basis: Art. 6(1)(b) GDPR — performance of the service you requested).

Record keeping: we keep an internal record of each letter request (the details above, together with the request time and IP address) to document delivery, prevent abuse of the service and answer support requests (legal basis: Art. 6(1)(f) GDPR — legitimate interest). These records are stored on our own hosting space, are not accessible to anyone else, and are deleted at the latest 12 months after the request — or earlier if you ask us to delete them.

No sharing, no selling: we do not sell, rent or share your data with third parties. Your data is not used for advertising. We only send you the email you requested — no newsletters or promotional emails unless you separately and explicitly opt in at some future point.

Email delivery: the email containing your letter is sent from our own mailbox (contact@thecancelguide.com) via our hosting provider's mail servers.

4. Abuse prevention (rate limiting)

To prevent automated misuse of the letter tool, the server keeps a short-lived, hashed reference to the requesting IP address that expires within one hour (legal basis: Art. 6(1)(f) GDPR — legitimate interest in protecting the service).

5. No cookies, no tracking, no third-party content

This website does not set cookies, does not use analytics or tracking tools, and does not embed content from third-party servers — fonts and images are served from our own hosting. Links to external websites (for example the official websites of the gym chains covered) only transfer data to those sites when you actively click them; their own privacy policies then apply.

Should we introduce advertising or other third-party services in the future, we will update this policy and, where required, ask for your consent first.

6. Your rights

Under the GDPR you have the right to access the personal data we hold about you (Art. 15), to rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interest (Art. 21). To exercise any of these rights, email contact@thecancelguide.com — we will respond within the statutory time limits.

You also have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for us is the Unabhängiges Landeszentrum für Datenschutz (ULD) Schleswig-Holstein, Germany; you may also contact the authority of your own place of residence.

7. Visitors from outside the EU

This website is directed at visitors in the United States. All data described above is processed on servers within the EU under the GDPR, which provides a high standard of protection. Whatever your location, you can direct any privacy request to contact@thecancelguide.com and we will honour it.

8. No automated decision-making

We do not use your data for automated decision-making or profiling.

9. Changes to this policy

We will update this policy whenever the data processing on this website changes (for example, before introducing advertising). The date at the top shows the latest revision.
